Media Mosaic (“we”, “us” and “our”) respects your privacy. This policy explains how personal information is handled when you visit mediamosaic.ca or contact us through this website. It covers this website and related inquiries; information handled for a client project may also be covered by a separate agreement or notice. Our internal advertising tools are also covered in the Facebook Login and Meta Advertising Tools section below.
Information we collect
Information you provide. Our contact form asks for your first and last name, company, email address, phone number, how you heard about us, and your message. Email is marked as required. We also receive information you choose to send by email or during follow-up correspondence. Please provide only information relevant to your inquiry and avoid sending sensitive personal information through the form.
Technical information. When you visit, our website and hosting services may receive your IP address, browser and device information, pages requested, referring page, and the date and time of your visit. This information supports delivery of the website, traffic measurement, troubleshooting, and protection against misuse.
How information is used
We use inquiry information to respond to you, understand your needs, discuss or provide requested services, and manage our correspondence. Technical information helps operate, maintain, measure, and secure the website. Information may also be used where necessary to meet legal obligations or establish, exercise, or defend legal rights. If we propose a new use that requires your consent, we will explain that use and seek consent before proceeding.
Cookies and third-party services
Cookies are small files stored on your device. WordPress uses cookies for functions such as login and administration. Hosting and external services may also use cookies or similar technologies. You can manage or delete cookies in your browser settings; blocking them may affect some features. This notice does not replace any consent that applicable law requires for optional tracking.
- GoDaddy hosting and traffic measurement. The website is hosted by GoDaddy and loads GoDaddy traffic-measurement technology, which may process technical and usage information. See GoDaddy’s Privacy Policy.
- Google Maps and Google Fonts. The website embeds a Google map and loads fonts from Google. Your browser connects to Google to display these resources, which may disclose your IP address and browser information. Google may also process cookies and interactions with the embedded map. See Google’s Privacy Policy.
- Content delivery networks. Some scripts, styles, and icons load from jsDelivr and cdnjs/Cloudflare. These providers receive technical information needed to deliver those resources, such as your IP address and requested file.
External websites and services have their own privacy practices. If you follow an external link or interact with embedded content, review the relevant provider’s notice and privacy controls.
Who may receive information
Information may be accessed by personnel who need it to handle inquiries, provide requested services, or administer the website, and by service providers supporting hosting, email, website maintenance, security, and communications. The external services described above also receive information directly from your browser. Information may be disclosed when required or permitted by law, to respond to lawful requests, or to protect rights and security. Any other disclosure requiring consent will be explained to you before that consent is requested.
Processing outside Quebec or Canada
Hosting, email, and other service providers may process or store information outside Quebec or Canada, including in the United States. Information processed there may be subject to the laws of those jurisdictions and access by their courts or public authorities. Contact us for questions about the service providers involved in handling your information.
Retention and protection
We retain personal information for as long as needed for the purposes described in this policy, including relevant legal, contractual, recordkeeping, and dispute-resolution requirements. Retention depends on the nature of the inquiry and any resulting business relationship. When information is no longer required, it should be securely deleted or anonymized in accordance with applicable law. Backup copies may remain until their normal replacement cycle.
We use reasonable safeguards appropriate to the information, including HTTPS for this website. No method of transmission or storage is completely secure. Please do not include passwords, payment-card details, or identity documents in a website inquiry.
Your choices and privacy rights
You may choose not to provide optional information. If we cannot obtain information needed to respond, we may be unable to address your inquiry fully. Subject to applicable law, you may request access to your personal information, correction of inaccurate information, deletion where applicable, withdrawal of consent, or a copy in a structured, commonly used format where a portability right applies. Some information may need to be retained for legal or contractual reasons. We may request information reasonably necessary to verify your identity before responding.
Send requests, questions, or complaints to our privacy contact at privacy@mediamosaic.ca. Please describe your request and how you interacted with us. We will address it within the time required by applicable law. You may also contact the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada, as applicable.
Facebook Login and Meta Advertising Tools
Media Mosaic uses internal advertising tools to connect authorized Facebook accounts, retrieve advertising reports and, where enabled, create and manage advertising campaigns on Facebook and Instagram.
Information we access
When you choose to connect your Facebook account, Meta asks you to authorize specific permissions. Depending on the permissions you approve and your access to business assets, our tools may receive:
- Your Facebook account identifier and basic profile information.
- Business portfolio, ad account and Facebook Page identifiers, names and relevant access information.
- Instagram advertising identity information associated with authorized assets.
- Campaign, ad set and ad information, including performance metrics such as impressions, clicks, spend and conversion results.
- Information about available advertising pixels, conversion events and promoted applications where needed for campaign setup.
- Access tokens and related authorization information used to communicate securely with Meta.
We do not ask you to provide your Facebook password to our tools.
How we use this information
We use this information to maintain authorized connections, discover available advertising assets, prepare reports, troubleshoot connection problems and support advertising operations.
Where campaign-management functions are enabled and separately authorized, we may use selected business assets, creative materials, destinations, targeting settings, budgets and bidding instructions to create, update, pause or activate advertising campaigns. These operations send the necessary information to Meta.
Website lead campaigns direct people to external websites. Our advertising tools do not retrieve individual lead records from Meta Instant Forms as part of these functions.
Shared internal access
A Facebook connection authorizes our tools to access the assets permitted by that account. Within our tools, authorized personnel may use that connection for permitted business purposes, including viewing reports or performing enabled advertising operations.
The person who connects Facebook may therefore differ from the person using a report or managing a campaign. Internal permissions control these activities; permission to view reports does not by itself grant permission to launch advertisements.
Security and retention
Access tokens are stored encrypted and used by server-side services. We restrict access to connected data and credentials according to operational responsibilities.
Connections may remain available after you sign out of our tools, until authorization expires, is revoked or is disconnected. We retain connection information, reports and operational records as needed to provide these functions, maintain security and meet applicable recordkeeping obligations.
Disconnecting and requesting deletion
You may revoke access through Facebook’s business integration settings or use an available disconnect control in our tools. Disconnecting or revoking access does not automatically delete information previously collected.
To request deletion of information held by Media Mosaic in connection with these tools, email privacy@mediamosaic.ca with the subject “Meta advertising data deletion request.” Identify the connected account or business assets concerned and describe your request. Do not send passwords or access tokens.
We may request information necessary to verify your identity and authority over the affected data. We will explain any information that must be retained and the reason for retention.
Disconnecting or deleting information from our tools does not automatically pause or delete advertisements, campaigns or other records held by Meta. Manage those assets through Meta’s tools or contact the authorized advertising administrator.
Changes to this policy
We may update this policy to reflect changes to the website or our practices. The effective date above identifies the latest version. Material changes will be brought to your attention where required, and additional consent will be requested when required by law.
